LunarLogic, LLC ("LunarLogic," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our accounts receivable automation platform and services (the "Service").

By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with this policy, please discontinue use of our Service.

Information We Collect

Account Information

When you create an account or use our Service, we collect:

• Name, email address, company name, and phone number
• Business address and billing information
• Payment method details (processed securely through third-party payment processors)
• Communication preferences and support history

Financial Data

Through your QuickBooks integration, we access and process:

• Customer names, contact information, and payment records
• Invoice data including amounts, due dates, and payment status
• Sales order information and estimate details
• Accounts receivable aging reports and analytics
• QuickBooks account configuration and custom fields

Important: We only access QuickBooks data necessary to provide our Service. You control which data we can access through QuickBooks OAuth permissions. We never access data unrelated to accounts receivable management.

Usage Data

We automatically collect information about how you interact with our Service:

• Log data including IP address, browser type, and device information
• Pages visited, features used, and time spent in the application
• Workflow execution history and automation performance metrics
• Error logs and system diagnostics

Communication Data

We store:

• Slack messages processed through our Invoice Automation workflow
• Email communications sent through our Payment Reminders system
• Support tickets, chat logs, and correspondence with our team

How We Use Your Information

We use collected information to:

• Provide the Service: Process invoices, send payment reminders, generate reports, and execute workflow automations as configured
• Maintain Security: Detect fraud, prevent unauthorized access, and ensure data integrity
• Improve the Service: Analyze usage patterns, develop new features, and optimize performance

Data Storage and Security

Storage

Your data is stored on secure cloud infrastructure provided by SOC 2 Type II certified providers. We maintain redundant backups with 30-day retention for disaster recovery purposes.

Encryption

• Data at Rest: AES-256 encryption protects all stored data
• Data in Transit: TLS 1.3 encryption secures all network communications
• QuickBooks Integration: OAuth 2.0 authentication ensures your QuickBooks credentials never touch our servers

Access Controls

We implement role-based access control (RBAC) to ensure only authorized personnel can access your data. Multi-factor authentication is required for all administrative access. Our team members access customer data only when necessary to provide support or maintain the Service.

Data Sharing and Disclosure

We Share Your Data With:

Service Providers: Third-party vendors who assist in operating our Service:

• Cloud infrastructure providers (AWS, Azure)
• Payment processors (Stripe)
• Email and SMS delivery services (for automated payment reminders)
• Analytics and monitoring tools

All service providers are contractually obligated to protect your data and use it only for the purposes we specify.

QuickBooks Integration: We exchange data with Intuit QuickBooks through their official API. This exchange is governed by Intuit's privacy policy in addition to ours.

Legal Requirements: We may disclose your information if required by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

Business Transfers: If LunarLogic is involved in a merger, acquisition, or sale of assets, your information may be transferred. We will notify you of any such change and provide options regarding your data.

We Do NOT:

• Sell your data to third parties
• Use your data to train AI models for other customers
• Share your financial data with advertisers or marketing companies
• Access your QuickBooks data beyond the scope of providing our Service

Your Rights and Choices

Access and Portability

You can request a copy of your data at any time. We will provide it in a structured, commonly used format (CSV, JSON) within 30 days.

Correction and Deletion

You can update account information directly in the application. To request deletion of your data, contact us at support@lunarlogic.ai. We will delete your data within 30 days, except where retention is required by law or necessary to resolve disputes.

QuickBooks Disconnection

You can revoke LunarLogic's access to your QuickBooks account at any time through QuickBooks' App Center or by contacting us. Upon disconnection, we will cease processing new QuickBooks data but may retain historical data for up to 30 days for backup purposes.

Marketing Communications

You can opt out of marketing emails by clicking the unsubscribe link in any email or contacting us directly. You will continue to receive transactional emails related to your account and service usage.

Do Not Track

Our Service does not currently respond to Do Not Track signals. We do not track users across third-party websites to provide targeted advertising.

Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Retention periods vary by data type:

• Active Account Data: Retained for the duration of your subscription
• Financial Records: Retained for 7 years to comply with tax and accounting regulations
• Communication Logs: Retained for 2 years for customer support purposes
• Backups: Retained for 30 days in encrypted form

After account termination, we delete most data within 30 days. Financial records and audit logs may be retained longer to comply with legal requirements.

International Data Transfers

LunarLogic is based in the United States. If you access our Service from outside the US, your data will be transferred to, stored, and processed in the United States. By using our Service, you consent to this transfer.

We implement appropriate safeguards to ensure your data receives adequate protection regardless of where it is processed.

Children's Privacy

Our Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately and we will delete it.

California Privacy Rights (CCPA)

California residents have specific rights under the California Consumer Privacy Act:
